Mail merge documents

Is anyone here an expert at these? I have created my form letter, formatted where I want the names & addresses from my source in an Excel spreadsheet but it is not working. The help section in Word is pretty much an overview.

What does the document look like now?

Which version of Word? 97? 2K? 02? 03?

Does the document show the codes similar to:

Dear <<first>>,

We are going to your town of <<city>> next month to do some chimney cleaning and thought you'd like to be in on this fantastic deal.

Sincerely,

whoever

If your document has those codes, there should be a mail merge toolbar at the top that has a button labeled <<abc>>.
If you hit that button, you should then see the first name and city plugged in where the field codes were if the document recognizes your data source. If that works, then you should have maroon arrows left and right activated on the same toolbar enabling you to browse all the contacts in the database.
If that works, then you need to actually perform the merge process because what you're looking at is just a preview.
Go to Tools...Mail Merge Helper and it should walk you through steps to finish the merge to either a new document (best choice), which you can then print or edit as necessary before sending to the printer, or if you're sure all the previewed names, etc. were correct, merge it directly to the printer or email.
