vehicle maintenance records

How does everybody here keep records of the maintenance on their cars? Do you just keep a folder of all the receipts or do you go all out and have software to track everything? I am curious how everybody does it here.

I use an old soft sided portfolio, tucks nicely in the well on the drivers side trunk.

MBUSA used to ( I haven't checked in a while) have a place where owners could keep a log of their maintenance items. I used it for about 4 or 5 years, but haven't kept it up. Now it's a folder in a filing cabinet drawer.

3 Ring Binder - put a pic of each vehicle on cover. Printed the maintenance schedules and attach any receipts.

Over $38,000 of verified documented work on the car in one place..

In an enormous 3 ring binder, every page with a plastic page protector.

Like a Giant telephone book, but bigger than one I ever saw.


Beginnning with road test copies and review from US and English magazines, to window sticker showing an MSRP of $84,500, Factory Build Sheet in English, Car faxes , smog tests several Mercedes Benz dealer master inquiry (VMI) printouts, Russian VIN# check abstract, and and every receipt for everything ever done to the car since April 1992, all service and repair records, and all in the pockets, the old car registrations.

Very complete and up to date, today L/O/F, brake fluid flush, and valve guide seals at a crack Los Angeles mechanic. The original service booklet is stamped up to the minute in all places, too. It's in the factory leather booklet with ALL accompanying booklets from new, even the blue and orange hang tags.


Except for the actual 1991 service and warranty claims, (but shown by abstract and translation on the VMI are all there anyway, it is fully documented from the day it was assembled in Germany.


Parallel to it is two little binders with records of the oil changes with date and mileage intervals as a quick reference guide to see all oil changes, and where performed since 1992 to date.

It's a verified Lifetime California car from delivery at Calstar Mercedes Benz on Dec. 23 1990 in Glendale, CA.

spreadsheets for my maintence log and a 4" ring binder with page protectors for everything. One section for the receipts and documentation, the other for the actual log.

For my M-B 190E, I have two vanilla folders filed in my file cabinet. One contains finance history (paid off ), pink slip, registration stuff, smog cert., and copy of ad that I found the car.

Second folder contains maintenance records and receipts of parts bought. For DIY jobs , mainly oil changes, I've typed them up on my computer and have yet to put them on excel.

For my Volvo 245DL, one vanilla folder that contains pink slip, the original sale receipt (the one that people write up when selling a used car), registration stuff, smog cert., maintenance records, and receipts of stuff bought for DIY repairs. Then on my computer I have an Excel document listing all services done by moi and not by a shop. Each sevice has date, service description, parts used, mileage, and notes.

Large binder with a label on the cover of what car it is and the vin# I also keep another copy of the records in the glove box.

I imagine it is special, especially if he goes to sell the car. detailed documentation ALWAYS adds to the value of an automobile.

Each vehicle has two folders, one for maintenance/repair receipts and the other for other documents (insurance policy, warrantys, etc.). I keep a copy of the registration and insurance in the file for convenience.

All vehicle titles are in a fire proof safe.

Electronically, one excel spreadsheet for all vehicles to track expenses.
